Customer story

Letting a lean team answer every guest

Annsun has a lean team, so the agent handles the first conversation and staff step in only when it matters.

The hotel

A small desk cannot answer everyone at once

Annsun Boutique Hotel runs with a lean team. There is no large reservations department waiting on every message, so the first conversation with a guest has to happen without a person being free.

The aim is not to remove people. It is to keep staff for the moments that need them: special requests, a call to a guest, a booking that needs closing.

Everyone is busy at onceA small desk cannot answer every enquiry the moment it arrives, and an unanswered guest moves on.
Repeat questions take the dayCheck in time, room types, location and policies are asked again and again by different guests.
No view of what was lostWithout a record, nobody could see how many enquiries came in, where they stalled or why they were lost.

A team member steps into any chat in one tap, and the AI stays silent while they reply.

  3. 3

    Escalation

If nobody acts on a handover in time, the next person on the ladder is told.

  4. 4

    Executive summary

A period summary of enquiries, wins, losses and top issues, without reading chats.

In practice

Three moments, in conversation

Sample conversations. For real guests the agent uses the hotel's own facts and tone.

A guest asks for a person

The agent does not argue. It hands over, and the team sees the whole conversation.

Can I speak to someone?

Of course. I am bringing in our team now.

A team member opens the chat and takes over.

For the team

What the team does differently

From answering to deciding

Staff spend time on special requests and closing, not repeating the same answer.

Nothing waits in silence

An escalation ladder tells the next person when a handover is not acted on.

A view without reading chats

The owner sees enquiries, wins, losses and reasons in a summary, including on WhatsApp.

The team still handles

  • Special requests
  • Calling the guest
  • Closing bookings

Questions

About this setup

Does the agent replace the front desk?

No. It handles the first conversation. The team keeps special requests, calling the guest and closing the booking.

What if nobody replies to a handover?

The escalation ladder tells the next role, and keeps going up, so a guest is not left waiting in silence.

How does the owner stay informed?

Through an executive summary of enquiries, wins, losses and top issues, which can also be sent on WhatsApp.

What is next

Tuning the knowledge base from the questions the agent flags.
